Managing User Permissions and Access Levels in FlexPath

Learn how to create users, assign access levels, and manage lead viewing permissions within the FlexPath Portal to keep your team operating securely and efficiently.

Overview

The FlexPath Portal includes built-in user management tools that allow administrators to control who can access lead data, what level of detail each user can view, and what administrative actions they can perform. Properly configuring user permissions ensures that sensitive shopper and credit data is accessible only to the right team members — a critical practice for both data security and operational efficiency.

Accessing the FlexPath Portal

FlexPath uses secure, email-based authentication — no usernames or passwords are required.

  • Each user account is linked to a unique email address.
  • Upon login, users receive a secure access link by email.
  • Clicking the link provides immediate portal access.

Tip: On a personal or trusted device, select "Trust this device for 30 days" during login to skip verification on future visits from that device.

Before logging in, confirm that the user has been granted access and assigned the appropriate permissions. Contact FlexPath Support or your account administrator if assistance is needed.

Creating Users and Assigning Access Levels

Administrators can create and manage users directly from the FlexPath Portal. To add a new user:

  1. Log in to the FlexPath Portal.
  2. Navigate to the Users tab in the left-hand navigation.
  3. Select Create New and enter the following details:
    • Name
    • Email
    • Phone number
    • Profile restrictions and permissions

Important: Users must be explicitly granted permission to view soft pull (credit bureau) data. This permission is not enabled by default.

Tip: Regularly review user access to ensure only active team members can view lead information. Confirm appropriate privileges whenever creating or updating logins.

Lead Detail Viewing Privileges

FlexPath offers four distinct levels of lead data access. Each level is cumulative — higher-tier access includes all data available at lower tiers.

Access Level What Users Can View
Full Credit Bureau Data All available lead details, including full credit bureau data, consumer PII, qualification score, full prequalification financing details, and all summary data.
Consumer PII Consumer personal information, qualification score, and complete prequalified financing details, including interest rates. Does not include full credit bureau data.
General Lead Information City, state, and ZIP; qualification score; and limited financing details (financing type, term, and credit tier). Does not include consumer PII or full credit bureau data.
Lead Reporting & Summary Data Aggregated reports, charts, and summary data only. Individual lead details are not included at this level.

Note: Soft pull data is visible only to users who have been explicitly granted credit bureau access permissions.

Administrative Privileges

Administrative access determines which accounts a user can manage within the portal. FlexPath supports two levels of administrative privileges:

  • Dealer Groups: Administrators at this level can manage users for the Dealer Group and all associated Dealer Rooftops.
  • Dealer Rooftops: Administrators at this level can manage users for their specific Rooftop only.

Applying Permission Changes

If changes are made to permissions or lead delivery settings while logged in, select Refresh Account Settings for those changes to take effect immediately. Otherwise, updates will apply the next time the affected user logs in.

Best Practices for User Management

  • Confirm that all relevant team members have active portal logins and appropriate access levels before going live.
  • Ensure your team understands VeriQual™ data points and how to use them when working with credit-qualified leads.
  • Periodically audit user accounts and remove access for team members who are no longer active.
  • Assign the minimum access level required for each role — reserve Full Credit Bureau Data access for authorized personnel only.
